You’ve found the assignment. You’ve agreed the pay. You’re excited about where you’re going. Your start date is in the diary.

Then comes the paperwork.

We get it. Compliance probably isn’t the part of becoming a healthcare traveler that anyone gets excited about.

But getting your compliance paperwork completed quickly is one of the most important things you can do to make sure your assignment starts smoothly, on time and without any last-minute surprises.

And ultimately, it’s not about making life easier for your recruiter or your agency.

It’s about protecting you, your assignment and your paycheck.

Why is there so much paperwork?

When you work in healthcare, hospitals and clinics need to know that every clinician walking through their doors is appropriately qualified, licensed, screened and ready to work.

Depending on your profession, facility and state, that might mean providing things like:

Professional licenses and certifications

Employment history

References

Background checks

Drug screening

Health records and immunizations

TB testing

BLS, ACLS or other certifications

Skills checklists

Identification and employment eligibility documentation

Facility-specific forms or training

Some assignments will require more than others.

It can feel like a lot, particularly when you’ve completed similar paperwork before. But every assignment and facility can have different requirements, and we have to make sure everything is in place before you start.

Your start date isn’t guaranteed until you’re cleared.

This is probably the most important thing to understand.

Accepting an assignment and agreeing a start date doesn’t necessarily mean you are ready to walk into the facility on Monday morning.

You still need to be fully compliant and cleared to start.

If something is missing, expired or still being processed, the facility may delay your start date.

And a delayed start date can mean a delayed paycheck.

That’s why we encourage our clinicians to start compliance as soon as an assignment is confirmed rather than leaving it until the last few days.

The earlier we find a problem, the easier it is to fix.

Sometimes compliance uncovers something nobody was expecting

Perhaps a certification is about to expire.

Maybe the facility requires a particular test you haven’t had.

Perhaps your state license needs updating.

a reference hasn’t responded

an old employment date needs confirming.

Most of these things are perfectly manageable.

What makes them difficult is time.

Finding out three weeks before your assignment starts gives everyone time to sort it out.

Finding out on Friday afternoon when you’re supposed to start on Monday is a very different situation.

Getting your documents to us early gives our compliance team time to check everything properly and come back to you if anything else is needed.

It protects the assignment you’ve worked hard to get.

Travel healthcare moves quickly.

Facilities are using travelers because they have staffing needs to fill, and they need clinicians who can be ready when they say they will be.

If your compliance isn’t completed by the required deadline, there is a risk that your start date could be moved—or, in some circumstances, that the assignment itself could be affected.

Nobody wants that.

You’ve invested time finding the right opportunity, completing interviews, making arrangements at home, organizing accommodation and perhaps traveling hundreds or thousands of miles.

Completing your compliance early helps protect everything you’ve already put in place.

It makes your move much less stressful.

The days before an assignment should be about getting ready for your journey—not searching through files for a certificate you last saw three years ago.

If you’re relocating, you may already be arranging housing, packing, organizing travel, saying goodbye to family and friends and working out where you’re going to buy groceries when you arrive.

The last thing you need is an urgent message asking for a missing document.

Get as much of your compliance completed as possible early and that’s one less thing to worry about.

Keep your own Traveler File.

Here’s one tip that can make life considerably easier.

Create a digital folder containing all your important professional documents.

Keep copies of your licenses, certifications, immunization records, identification, training certificates and anything else you regularly need for assignments.

And keep an eye on the expiry dates.

When something is renewed, replace the old version immediately.

Your future self will thank you for it.

Respond quickly—even if you don’t have the answer.

If our compliance team contacts you about something, don’t avoid the message because you haven’t got the document yet. Just tell us.

If you need a few days, can’t find something or aren’t sure what we’re asking for, let us know.

There may be another way of obtaining it, we may be able to help, or we can at least make sure everyone understands what’s happening.

Communication is nearly always better than silence.

Compliance should be something we do with you, not to you.

At WHR, we don’t expect you to figure everything out on your own.

Our job is to help you understand what is required, keep you updated on what’s outstanding and work with you to get everything completed before your start date.

There may be a few reminders along the way—and occasionally we might chase you!

We’re not doing it because we love paperwork.

We’re doing it because we want you arriving at your new assignment ready to work, without unnecessary delays or surprises.

So when that compliance email lands in your inbox, don’t leave it sitting there.

Get started.

The quicker your paperwork is complete, the quicker you can forget about the paperwork and concentrate on the reason you’re really there—your next assignment.

Ready for your next assignment?

Whether you’re already an experienced traveler or thinking about taking your first assignment, the Windsor team is here to help you through every stage—from finding the right opportunity to getting you cleared and ready for your first day.

Care More. Do More. Be More.

We were already pretty excited to have Carrie Ellis representing Windsor at TalentTrack 2026 in Omaha. Then they gave her a microphone.

Carrie joined fellow healthcare staffing leaders for one of the conference’s main-stage discussions:

“Small but Mighty: What Big Agencies Can Learn From the Underdogs.”

And as a growing independent healthcare staffing company ourselves, it was a conversation that felt very close to home.

Does bigger always mean better?

That was really the question at the heart of the discussion.

The panel explored how smaller healthcare staffing agencies can compete in a market dominated by much larger organizations — and why being smaller can sometimes be an advantage rather than something to overcome.

Faster decisions. Fewer layers. Closer relationships. Greater agility. And the ability to stay genuinely connected to the clinicians and clients you work with.

There was also an interesting discussion around the future of recruitment itself.

With technology and AI making it easier than ever to send more messages to more people, the panel challenged whether more activity necessarily creates better recruitment.

One of the themes that emerged was refreshingly simple:

Trust still matters.

Recruiters don’t all have to work in exactly the same way. Technology should support relationships rather than replace them, and sometimes providing value to a clinician without immediately trying to sell them a job can build a far stronger relationship in the long run.

That sounds a lot like the kind of healthcare staffing company we’re trying to build at Windsor.

Growing without losing what makes you different

Perhaps the most relevant conversation for us was around growth.

Being small can mean being closer to what’s happening. Leaders know their recruiters. Recruiters know their clinicians. Feedback travels quickly and problems can often be solved without layers of process.

But growth also brings challenges.

The panel discussed the importance of creating the right processes, sharing knowledge and building support around great people so that, as an organization grows, it doesn’t become dependent on a handful of individuals doing everything.

That’s a particularly important lesson for any growing business.

The ambition isn’t simply to get bigger. It’s to grow without losing the things that made people want to work with you in the first place.

And we think that’s worth remembering.

Nice work, Carrie.

We’re incredibly proud to have had Carrie representing Windsor on the TalentTrack stage and contributing to a conversation about where healthcare staffing goes next.

Thank you to the TalentTrack team for inviting her to be part of it — and to Carrie’s fellow panelists for such an open and interesting discussion.

If you’d like to hear the whole conversation, the complete 30-minute Small But Mighty session is now available to listen to online.

Small but mighty? We can live with that.

TalentTrack brought together nearly 200 healthcare staffing leaders for its first in-person conference — and what made it particularly refreshing was how open those conversations were.

Windsor were represented by Carrie Ellis (President), Laurence Butcher (Owner/Director), Ryan Bowder (Director of Recruitment) and Wendy Jones (Director of Compliance).

For Windsor, still relatively early in our own story, having the opportunity to listen, learn, share experiences and build relationships with people from across the industry was hugely valuable.

Putting together an event that feels relaxed while running smoothly takes an enormous amount of work behind the scenes.

So a huge congratulations and thank you to Oliver Feakins, Carly Miller and the entire TrackFive team for creating such a great couple of days.

And congratulations, of course, to all of this year’s TalentTrack Award winners and finalists. Being recognised alongside businesses and people doing great things across our industry was something we’re very proud of.

Carrie Ellis represents Windsor at the Qualivis Roundtable 2026

Great healthcare staffing isn’t just about knowing what’s happening today. It’s about listening to where the industry is heading next.

That’s why Carrie Ellis from Windsor Healthcare Recruitment Group headed to Williamsburg, Virginia, for the Qualivis Roundtable 2026, held May 27–29.

The annual Roundtable brings together healthcare organizations, hospital associations, nurse leaders and staffing partners from across the country to share ideas, discuss workforce challenges and learn from one another.

And for Carrie, it was three days very well spent.

Good conversations matter

This year’s theme — “The Power of Together: Shaping a Healthier Future” — couldn’t have been more appropriate.

Healthcare staffing continues to change, and events like Roundtable give us the opportunity to step outside the day-to-day, hear directly from healthcare leaders and understand the challenges organizations are facing.

There were conversations around workforce flexibility, retention, evolving staffing models and how healthcare organizations can build stronger, more sustainable teams — alongside plenty of opportunities to meet new people and strengthen existing relationships.

For Windsor, that’s incredibly valuable.

Listen to what’s changing. Learn from the people experiencing it. And bring those conversations back into how we work every day.

It’s good to get around the table

A huge thank you to the Qualivis team for bringing together so many different voices from across healthcare and staffing.

And thank you to everyone who took the time to meet, talk and share ideas with Carrie over the three days.

She returned to Windsor with new connections, fresh perspectives and plenty to talk about with the rest of the team.

Because sometimes the most useful part of an industry event isn’t what’s written on the agenda.

It’s who you meet around the table.

We’ve got some exciting news to share.

Windsor Healthcare Recruitment Group has been named a Finalist for the Rising Star Award at the 2026 Talent Track Awards hosted in Omaha, NE on June 2-3 2026.

And yes, we’re pretty proud of this one.

The Rising Star Award recognises businesses making their mark in the staffing industry — and for a company that is still relatively early in its story, being recognised in this way means a lot.

But this isn’t really a story about an award.

It’s a story about the people behind Windsor.

Built by a team that cares.

Since Windsor began, we’ve had a pretty simple ambition: to build a healthcare staffing company that does things properly.

One that listens.

One that tells clinicians and clients the truth.

One that works hard behind the scenes to get the details right.

And one where people genuinely care about the experience they create for everyone they work with.

That takes a team.

From Recruitment and Business Development to Credentialing, Compliance, Payroll and Operations, there are people across Windsor working every day to make that ambition a reality.

Their energy, determination and belief in what we’re building are the real reason we’ve reached this point.

Care More. Do More. Be More.

These three words have become an important part of what Windsor stands for.

Care More about the clinicians, clients and colleagues we work with.

Do More than simply make a placement and move on to the next one.

Be More by continuing to learn, improve and challenge ourselves to build a better healthcare staffing company.

Being shortlisted for the Rising Star Award feels like a lovely moment to recognise how far that approach has already taken us.

But we’re nowhere near finished.

Thank you, Track Five

A huge thank you to Track Five and the Talent Track Awards for the recognition, and for celebrating the businesses and people helping move the staffing industry forward.

And an even bigger thank you to Team Windsor.

This nomination belongs to every person who has helped build the business, every clinician who has trusted us with their career and every healthcare organization that has trusted us to support their team.

Whatever happens when the winner is announced, we’re incredibly proud to be among the finalists.

And as for what comes next?

Keep caring. Keep doing. Keep building.

The Windsor story is only just getting started.

In the world of healthcare travel, timing is everything. Whether you’re a nurse, therapist, or allied health professional, landing the right job quickly can mean the difference between a smooth transition and weeks (or months) without income.

With competition increasing and healthcare systems moving fast to fill roles, it’s crucial to position yourself as a ‘ready-to-go’ candidate. Here are 10 proven steps to help you secure travel healthcare jobs faster—and with less stress.

Always Tell the Truth: There is nothing worse for a Recruiter or Candidate than finding out a job submission has been rejected because of a Poor Reference, Background Check, positive Drug or Alcohol Test. Be up front and honest with everybody from the outset.

Optimize Your Resume and Skills Checklists: Your resume should be concise, professional, and easy to read, including current certifications, specialties, unit experience, equipment knowledge, EMR systems used and Travel or contract experience. Also complete your skills checklist thoroughly.

Submit Documents Quickly: Travelers should keep their credentials (license, certifications, resume, references, etc.) updated and ready to submit right away. Delay in paperwork can mean missing out on fast-moving jobs.

Be Clear About Preferences: Clearly communicating their location preferences, shift availability, pay expectations, and facility type helps recruiters match them efficiently.

Stay Responsive: Fast responses to texts, calls, or emails allow recruiters to act quickly when opportunities arise—many contracts are filled within hours.

Be Flexible: Travelers willing to take assignments in high-demand areas or during less desirable shifts (e.g., nights, weekends) are easier to place quickly.

Complete Profiles Promptly: Many healthcare staffing agencies require travelers to fill out online profiles. Completing these thoroughly and accurately saves time and boosts visibility.

Keep Licensure Up-to-Date: Holding compact licenses or being licensed in multiple states expands the job pool and speeds up placement.

Communicate Availability: Letting recruiters know when they are available for new contracts (and giving advance notice) helps them prepare and pitch jobs early

Consider Short-Term or Rapid-Response Jobs: Hospitals often have urgent staffing needs and may offer higher pay for quick starts. It can pay to consider, 4–6 week assignments, “Crisis” contracts, Float Pool positions. These jobs can often lead to extensions—and they show you’re reliable and flexible.

Getting a healthcare travel job quickly is all about preparation, flexibility, and responsiveness. When your documents are ready, your recruiter is on your side, and you’re open to new opportunities, you’ll spend less time waiting—and more time earning, exploring, and growing!

In the ever-evolving world of healthcare travel, more professionals are trading traditional housing for life on the road—literally. Using a recreational vehicle (RV) as a mobile home base has become increasingly popular among travel nurses, physical therapists, and other contract healthcare workers. While the idea of RV living may sound adventurous and cost-effective, it comes with its unique set of challenges. Below, we explore the key benefits and drawbacks of RV living as a healthcare traveler.

Pros
1. Flexibility and Freedom
RV living offers unmatched freedom in terms of location. Healthcare travelers often change assignments every 8–13 weeks. With an RV, there’s no need to scramble for new short-term housing every time—you simply drive to your next destination.

2. Cost Savings (in Some Cases)
Avoiding rent and hotel fees can significantly reduce your living expenses. If you own your RV outright and are strategic with campground choices, you can save a lot—especially in high-cost areas.

3. Consistent Living Environment
No matter where your assignment takes you, your home, kitchen, bed, and personal belongings remain consistent. This stability can be a big comfort amid the frequent transitions of travel work.

4. Pet-Friendly Living
Finding pet-friendly rentals can be a headache for travelers with animals. RVs eliminate this stress, allowing you to bring your furry companions along without restrictions.

5. Community and Lifestyle
Many RV parks offer a sense of community, and there’s a vibrant online and in-person network of healthcare travelers who live the RV lifestyle. It can be a great way to meet like-minded individuals and share resources.

Cons
1. Upfront and Maintenance Costs
While RV living can be cost-efficient over time, the initial investment is significant. You’ll also need to budget for regular maintenance, repairs, insurance, fuel, and storage fees between assignments if applicable.

2. Limited Space and Comfort
Living in an RV means adapting to a much smaller space. This can be a challenge, especially during long assignments or in extreme weather when spending time outside is limited.

3. Internet and Connectivity Challenges
Reliable internet is essential for charting, telehealth sessions, or even just streaming and relaxing. RV parks don’t always have dependable Wi-Fi, so additional investment in mobile hotspots or satellite services may be required.

4. Logistical Complexities
Driving a large vehicle, finding RV-friendly routes, and booking suitable campgrounds near your workplace can be time-consuming and stressful. Not all assignments will be near RV parks with long-term availability.

5. Weather and Seasonal Concerns
Cold climates can be particularly tough in an RV. Frozen pipes, heating issues, or storm conditions can turn a minor weather event into a major hassle.

Using an RV as a healthcare traveler can be a liberating and rewarding lifestyle—if you’re prepared for the challenges. It offers flexibility, potential cost savings, and a unique sense of home on the road. However, it’s not for everyone. Space constraints, logistical hurdles, and the unpredictability of life on wheels require resilience, adaptability, and planning.

For those who thrive on adventure and value independence, the RV route might be the perfect fit. For others, a more traditional housing setup may offer greater comfort and peace of mind.

Maximizing tax benefits as a healthcare traveler involves understanding the tax laws and regulations that apply to your situation and taking advantage of available deductions and credits. Here are some simple tips to help you optimize your tax benefits – but if in doubt always ask a qualified tax adviser:

Maintain Accurate Records: Keep detailed records of your travel expenses, including receipts for lodging, meals, transportation, and any other work-related costs. Accurate record-keeping is essential for claiming deductions on your tax return.

Understand Tax Home and Permanent Residence: Familiarize yourself with the concept of tax home and permanent residence, as they can impact your eligibility for certain tax benefits. Generally, your tax home is the location where you primarily work or conduct business, while your permanent residence is your primary place of abode.

Claim Travel Expenses: Deduct eligible travel expenses, such as transportation costs to and from your temporary work location, lodging expenses, and meals (subject to certain limitations). Keep in mind that only expenses that are considered necessary and ordinary for your job are deductible.

Utilize Per Diem Allowances: Take advantage of per diem allowances, which are standard daily rates provided by some employers to cover lodging, meals, and incidental expenses. Per diem payments can be tax-free if they do not exceed the IRS-approved rates for the specific location and duration of your assignment.

Home Office Deduction: If you have a dedicated workspace in your home that you use regularly and exclusively for work-related activities, you may be eligible to claim a home office deduction. This deduction allows you to deduct a portion of your home-related expenses, such as rent, utilities, and internet costs, based on the size of your home office relative to your total living space.

Professional Expenses: Deduct unreimbursed job-related expenses, such as licensing fees, certification costs, continuing education expenses, and professional association dues. These expenses can help lower your taxable income.

Healthcare Expenses: Take advantage of tax deductions for qualifying medical expenses, including health insurance premiums, out-of-pocket healthcare costs, and expenses related to medical care while traveling.

Consult a Tax Professional: Consider working with a tax professional or accountant who specializes in healthcare traveler tax matters. They can provide personalized advice based on your individual circumstances and help you maximize your tax benefits while ensuring compliance with tax laws.

Stay Informed: Stay updated on changes to tax laws and regulations that may affect healthcare travelers. Tax rules can vary depending on your specific situation and the jurisdiction in which you work, so it’s essential to stay informed and seek professional guidance when needed.

By taking advantage of available deductions and credits, keeping detailed records, and staying informed about tax laws, healthcare traveler staffing professionals can minimize their tax liability and maximize their tax benefits.

Managing Work-Life Balance as a Healthcare Traveler

In the bustling world of healthcare travel, the thrill of adventure and the pursuit of career growth often go hand in hand. While jetting off to new destinations can be exhilarating, it’s essential to maintain a sense of balance between your professional responsibilities and personal well-being. Here are some strategies to help you navigate the challenges and find harmony on the move:

Prioritize Self-Care: As a healthcare traveler, your job is demanding, and it’s easy to prioritize the needs of others over your own. However, prioritizing self-care is crucial for maintaining your physical, emotional, and mental well-being. Make time for activities that recharge your batteries, whether it’s going for a walk, practicing yoga, or indulging in a hobby you love.

Establish Boundaries: Set clear boundaries between your work life and personal life, even when you’re on the road. Define specific times for work-related tasks and make a conscious effort to disconnect during your downtime. Communicate your boundaries to your colleagues and supervisors to ensure they respect your time outside of work hours.

Embrace Routine: While healthcare travel often means adapting to new environments, establishing a sense of routine can provide stability amidst the chaos. Create a daily schedule that includes time for work, exercise, relaxation, and socializing. Stick to your routine as much as possible, even when you’re in a new location, to maintain a sense of normalcy.

Stay Connected: Maintaining relationships with loved ones can be challenging when you’re constantly on the move, but it’s essential for your emotional well-being. Take advantage of technology to stay connected with family and friends through video calls, social media, and messaging apps. Cultivate a support network of fellow healthcare travelers who understand the unique challenges you face.

Practice Mindfulness: Mindfulness techniques, such as meditation and deep breathing exercises, can help you stay grounded and present, even in the midst of chaos. Take a few moments each day to center yourself and cultivate a sense of inner peace. Mindfulness can help reduce stress, improve focus, and enhance overall well-being.

Set Realistic Expectations: It’s easy to succumb to the pressure to excel in your career as a healthcare traveler, but it’s essential to set realistic expectations for yourself. Understand that perfection is unattainable, and it’s okay to ask for help when you need it. Be gentle with yourself and celebrate your successes, no matter how small.

Make Time for Exploration: One of the perks of healthcare travel is the opportunity to explore new destinations and immerse yourself in different cultures. Take advantage of your time off to explore local attractions, try new foods, and connect with the community. Balancing work with leisure activities can enrich your travel experience and contribute to a more fulfilling lifestyle.

Conclusion: Managing work-life balance as a healthcare traveler requires intentionality, discipline, and self-awareness. By prioritizing self-care, establishing boundaries, embracing routine, staying connected, practicing mindfulness, setting realistic expectations, and making time for exploration, you can find harmony on the move and thrive in both your professional and personal life. Remember, finding balance is an ongoing journey, so be patient with yourself and prioritize your well-being every step of the way.

Whether you’re a seasoned traveler or just starting out, navigating the ins and outs of healthcare travel can be both exhilarating and challenging. To help you make the most of your adventures, here are our top ten tips for US healthcare travelers:

Plan Ahead: Research potential destinations, job opportunities, and housing options well in advance. Planning ahead allows you to secure the best assignments and accommodations, giving you peace of mind and minimizing stress.

Be Flexible: Flexibility is key in travel healthcare. Be open to new experiences, different work environments, and varying patient populations. Embrace the opportunity to learn and grow professionally with each assignment.

Network: Build relationships with fellow travelers, healthcare professionals, and recruiters. Networking not only opens doors to new opportunities but also provides invaluable support, advice, and camaraderie along the way.

Communicate Clearly: Effective communication is essential in travel healthcare. Clearly communicate your expectations, preferences, and availability with your agency and potential employers to ensure a successful assignment match.

Stay Organized: Keep track of important documents, certifications, and licenses. Create a travel binder or digital folder to store essential information such as contracts, credentials, and contact details for easy access during assignments.

Embrace Challenges: Travel healthcare comes with its fair share of challenges, from adjusting to new routines to navigating unfamiliar healthcare systems. Embrace these challenges as opportunities for personal and professional growth, and don’t be afraid to ask for help when needed.

Prioritize Self-Care: Healthcare travelers often juggle demanding schedules and high-pressure environments. Prioritize self-care by maintaining a healthy work-life balance, staying active, eating well, and finding activities that bring you joy and relaxation during downtime.

Explore Your Surroundings: Take advantage of your time off to explore the sights, sounds, and flavors of your destination. Immerse yourself in local culture, try new foods, and embark on adventures to create unforgettable memories outside of work.

Reflect and Reevaluate: After each assignment, take time to reflect on your experiences and accomplishments. Evaluate what worked well and what areas you’d like to improve upon for future assignments. Use these insights to continuously refine your travel healthcare journey and pursue your career goals with confidence.

By following these top tips, you’ll be well-equipped to navigate the exciting and dynamic world of US healthcare travel. Remember to embrace each assignment with an open mind and a positive attitude, and you’ll reap the rewards of a fulfilling and enriching career on the road. Safe travels!
